App Privacy Policy

Your privacy matters to us. This policy explains what information Elvar collects, how we use it, and how we protect it — including specific protections for users under 18.

1. Who this policy covers

This Privacy Policy applies to all users of the Elvar app, operated by Elvar Strategy Firm (doing business in the Commonwealth of Massachusetts). It applies to athletes, parents or guardians who provide consent for minor users, and any other individuals who interact with the app.

2. Information we collect

Account information — When you register, we collect your name, email address, date of birth (to verify age eligibility), organization, and team. For athletes under 18, we also collect a parent or guardian's name and email address for consent purposes.

Performance data — We collect the reflection responses you submit after practices and games, including Likert scale ratings, multiple choice answers, and written responses. This is the core data the app is built around.

Coaching communication — We store messages and comments exchanged between athletes and Elvar coaches within the app.

Usage data — We collect basic app usage information such as when reflections are submitted and how frequently the app is used. We do not collect precise location data or track you outside the app.

3. How we use your information

  • To operate the app and deliver the reflection and coaching experience

  • To allow Elvar coaches to review your reflections and provide personalized feedback

  • To display your reflection history and performance trends to you

  • To provide partner organization administrators with aggregate participation data (not individual reflection content)

  • To improve the app over time based on usage patterns

  • To communicate with you about your account or the app

We do not sell your personal information. We do not use your data for advertising purposes.

4. Children's privacy — users under 18

Elvar is available to users aged 14 and older. We take the privacy of minors seriously and have specific protections in place.

For users under 18, a parent or legal guardian must provide verifiable consent during the registration process before the account is activated. By completing this consent step, the parent or guardian acknowledges they have reviewed this Privacy Policy and agree to the collection and use of their child's information as described here.

Parents or guardians may at any time request to review their child's information, request deletion of their child's account and data, or withdraw consent by contacting us at the email address listed in Section 9. Upon a verified request, we will delete the account and associated data within 30 days.

We do not knowingly collect personal information from children under 13. If we learn that we have done so without parental consent, we will delete it promptly.

5. Who can see your information

Your Elvar coach — Your reflection responses, performance scores, coaching notes, and messages are visible to your assigned Elvar coach (Coach Mike). Coaches can view all content you submit.

Your organization's administrators — Partner organization administrators (e.g., team coaches or program directors) can view aggregate participation data such as submission rates and average performance scores for their team. They do not have access to your individual written reflection responses or private coaching messages.

Other athletes — Your reflections and messages are never visible to other athletes.

Third-party service providers — We use third-party infrastructure providers (such as cloud hosting and database services) to operate the app. These providers process data on our behalf and are contractually prohibited from using your data for any other purpose.

6. Data retention

We retain your reflection history and coaching communication indefinitely while your account is active, as this longitudinal data is a core part of the app's value — being able to look back at your performance over time is intentional.

If your account is deactivated, we retain your data in archived form for 12 months before permanent deletion, unless you request earlier deletion.

For users under 18 whose parents or guardians withdraw consent, we delete the account and all associated data within 30 days of a verified request.

7. Data security

We use industry-standard security practices to protect your information, including encrypted data storage and secure transmission. No system is 100% secure, and we cannot guarantee absolute security, but we take reasonable steps to protect your data from unauthorized access, loss, or disclosure.

8. Your rights

You have the right to:

  • Access the personal information we hold about you

  • Request correction of inaccurate information

  • Request deletion of your account and data

  • Withdraw consent (for minor users, the parent or guardian may do this)

Massachusetts residents may have additional rights under applicable state privacy law. To exercise any of these rights, contact us using the information in Section 9.

For requests involving a minor's data, please include the athlete's name, your relationship to them, and the specific request. We will respond within 10 business days.

10. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will update the effective date at the top of this page and notify users through the app. For material changes affecting minors' data, we will also notify the parent or guardian email on file.
